Project management software that connects customers, activities and worked hours
Projects scattered across spreadsheets, hours logged from memory and deadlines discovered at the last minute? With Onwork every project is linked to a customer and structured into activities, sub-activities and milestones. Your team records shifts directly on the sub-activities: you always know who worked on what, and when.
Who uses it
Project managers, administration, commercial owners, team leaders
One clear structure, from project to shift
Every project breaks down into activities, sub-activities and milestones. Shifts are recorded on sub-activities: no orphaned hours, no ambiguity.
Deadlines under control, automatically
Set the end date and get an automatic notification 3 days before the deadline. Project creation and updates also notify everyone with the management permission.
Error-proof scheduling
Only projects in Open status appear in the selector when creating a shift. Closed or freshly Created ones stay out: scheduling on the wrong project becomes impossible.
Everything Projects handles for you.
Operational detail, not marketing fog — every capability below is in the product today.
01
A complete project record
A side-panel creation form with everything you need to frame the project, from customer to owners.
- Required fields: name, customer, owner, administrative owner, commercial owner and initial status
- Separate billing customer, when the party you invoice differs from the main customer
- Offer reference and order reference (number and date) to link commercial documents
02
Activities, sub-activities and milestones
Each project is organised into macro-areas of work, with the operational units your team records shifts on.
- Activities typed as Time & Material (billed by the hour) or fixed-price (a corpo)
- Sub-activities as work units: without at least one, no shifts can be recorded on the activity
- Milestones with a planned date and an amount, ideal for fixed-price projects tied to goals
03
Table, filters and quick actions
The projects list is built for working, not just looking.
- Auto-generated progressive serial number (00001, 00002, ...) and a coloured status badge
- Filters by customer and status, plus advanced filters on description, notes and dates
- Expandable Activities column: see activities, sub-activities and milestones without opening the detail
How it flows
How Projects flows, step by step.
- 1
Created
The project starts in a temporary initial status and auto-moves to Open right after creation.
- 2
Open
The project is active and operational: you structure it into activities (Time & Material or fixed-price) and sub-activities.
- 3
Scheduling
The team records shifts on the sub-activities. Only activities and sub-activities in Open or In Progress status are schedulable.
- 4
Milestones
For fixed-price projects you define checkpoints with a planned date and an amount, tied to hitting specific goals.
- 5
Closed
The completed project disappears from the shift selector: nobody can schedule hours on it by mistake.
Works better together.
Projects shares data live with the rest of Onwork — one source of truth, nothing re-typed.
Frequently asked questions
Straight answers about Projects: what it does and how it fits your workflow.
What do I need to record shifts on a project?
The project must be in Open status and the activity must have at least one sub-activity: that's where employees record their shifts. Only activities and sub-activities in Open or In Progress status are schedulable.
Can I manage both hourly and fixed-price projects?
Yes. Each activity can be typed as Time & Material (billed by the hour) or fixed-price (a corpo). For fixed-price projects you can define milestones with a planned date and an amount, tied to hitting specific goals.
How do project deadline notifications work?
If you set the end date, the system sends an automatic notification 3 days before the deadline to every user with the project management permission. The administrator can configure notifications under Settings > Notifications.
