Accounts payable software that registers supplier invoices straight from the XML
Supplier invoices typed in by hand, due dates tracked in a spreadsheet and payments nobody remembers the status of: that's how accounts payable turns into late fees and errors. With Onwork you upload the FatturaPA XML, the system extracts everything — issuer, amounts, due dates, withholdings — and every payment updates the amount due and the status on its own. You watch what's due and when from one dashboard.
Who uses it
Finance, accounts payable, controllers, CFO
Zero retyping, zero transcription errors
Upload one or more XML files and the invoice registers itself, detailed tax data included: regime, recipient code, withholdings. If the supplier doesn't exist yet, the system offers to create it automatically.
Due dates and cash flow under control
The dashboard shows total to pay, total paid, invoices due in the next few days and the breakdown by payment status. No more due dates discovered at the last minute.
Every payment traceable and auditable
Bank receipts and transfer confirmations attached to each payment, reversals with automatic recalculation of the amount due. The system blocks payments that exceed the document amount.
Everything Accounts Payable handles for you.
Operational detail, not marketing fog — every capability below is in the product today.
01
FatturaPA XML import
The fastest way to register a passive invoice: from XML file to documents table in seconds.
- Upload one or more XML files at once with "Upload XML": the system extracts issuer, document number, date, amounts, due dates, withholdings and payment data
- Supplier not in your records yet? The system offers to create it automatically with business name, Partita IVA, Codice Fiscale and registered office — you review the record and complete IBAN and contacts
- The original XML stays downloadable from the row at any time
02
Payments with automatic statuses
You record the payment, the system does the rest: remaining amount and status update on their own.
- Four statuses with coloured badges: To pay (yellow), Partially paid (blue), Paid (green), Reversed (red)
- Add a payment with amount, date and type — Bank transfer, Card, Cheque — and attach the receipt for traceability
- The system blocks payments above the document total: "The paid amount exceeds the amount due"
03
Credit notes and multiple due dates
Even the messy cases — supplier credits, instalment payments — stay reconciled without manual math.
- Link the credit note to the original invoice via the "Parent invoice" field: the amount is automatically deducted from what's due
- Delete a linked credit note and the parent invoice's amount due is recalculated on its own
- Each invoice supports multiple due dates (date + amount), imported from the XML or entered manually
How it flows
How Accounts Payable flows, step by step.
- 1
Upload XML
Import one or more FatturaPA files: the system automatically extracts issuer, number, date, amounts, due dates and withholdings — and creates the supplier if it doesn't exist.
- 2
To pay
The invoice lands in the documents table with a yellow badge, first due date and amount due in plain sight.
- 3
Partially paid
You record a payment with amount, date and type (Bank transfer, Card, Cheque) and attach the receipt: the remaining amount updates on its own.
- 4
Paid
When payments settle the document, the status turns green — automatically, no manual ticking.
- 5
Reversed
Need to cancel a payment? Switch it to Reversed and the amount due is recalculated instantly.
Works better together.
Accounts Payable shares data live with the rest of Onwork — one source of truth, nothing re-typed.
Frequently asked questions
Straight answers about Accounts Payable: what it does and how it fits your workflow.
How does importing passive invoices from FatturaPA XML work?
Click "Upload XML", pick one or more files and the system automatically extracts issuer, number, date, amounts, due dates, withholdings and payment data. If the supplier isn't in your records, Onwork offers to create it automatically. The original XML stays downloadable at any time.
How do I handle partial payments and multiple due dates?
Each invoice can carry multiple due dates (date + amount), imported from the XML or entered manually. Every recorded payment automatically updates the remaining amount and the status: to pay, partially paid, paid. The system blocks payments that exceed the document total.
Can I manage credit notes and self-invoices?
Yes. A credit note links to the original invoice via the "Parent invoice" field and its amount is automatically deducted from what's due; delete it and the amount due is recalculated. Self-invoices are a dedicated document type, recognisable by their icon in the table.
